Surveys
During the last few weeks and months, the Management Committee has been working on aspects of the Strategic Plan, On-water and House Committee operational plans and conducting a series of workshops with members of committees asking for input into the next ten-year plan for the club. The workshops are described as SHAPING THE FUTURE OF THE CLUB - OUR INFRASTRUCTURE. There are three more committee workshops in July. There will also be a series of general consultations later in the year. Some of this work involves surveys of members via Survey Monkey. The OWG sent out one such survey a few weeks ago and today a survey about twilight sailing was distributed to members. In the next week or so a House Survey will be distributed to members via Survey Monkey and in hard copy with the Notice Of Meeting for the AGM. While members may feel “surveyed out” your responses and feedback are important for the Club and the Management Committee to measure and understand the views of as many members as possible not just frequent users of the club. We would be grateful for as many responses as possible from members. As it is said: “This is your chance to have a say”.

Another task for the Club is to be compliant under the Associations Incorporation Act 2015. Clubs have until mid - 2019 to become compliant with the Act and the Constitution, or Rules under the Act’s new terminology, must be updated to reflect the changes. Many changes are mandatory such as all members having the right to attend meetings but only voting member categories being able to vote at meetings and periods of notification about meetings and quorums etc. Other changes can be made with the approval of members. The committee is looking at modernising the Rules to suit the strategic plan and operational plans and will be putting the Rules up on the members portal in late July or early August so members can comment on the updated Rules insofar as the discretionary changes are concerned rather than the obligatory Act changes. The proposed timetable for introducing the new Rules and comments by Management Committee is late July. The document must then be provided to the Dept. Commerce (old name) and Liquor Licensing for comment. Upon approval of SoPYC’s mandatory and proposed changes by these two bodies, the Rules will be brought to members for adoption at a special general meeting in October.

New Annual Voucher Option
The Management Committee has resolved to introduce an annual payment for the House Support Scheme (vouchers) to accommodate members who are absent from the Club for work or travel purposes for extended periods. With the introduction of this option, exemptions from voucher charges will no longer be available as members opting to pay their vouchers annually will have a full twelve months to use their vouchers.
|
To accommodate this new arrangement for the new 2018-19 financial year, members must register their intention to take up this offer by no later than 1 August 2018. This will be an annual “opt-in” option and from 2019 the option will be processed at the same time as the standard quarterly vouchers on the 30th June each year.
|
The applicable membership categories are:
|
- Centreboard 26 years+
- Family
- Ordinary 26 years+
- Ordinary Half
- Social
For members exercising the option, $460 (4 x $115) will be charged on the 1st August and the vouchers will expire on 30 June the following year. The annual voucher option will not be available for use until they are fully paid.
|
Any quarterly vouchers charged on 30 June 2018 prior to the new option being taken up will be credited back (less amounts spent) to the member's account.
|
